This notice explains how AI Build Group Ltd handles personal information when you use Job Matches. Job Matches is operated by AI Build Group Ltd. It does not have its own ICO registration.

Controller

AI Build Group Ltd is the data controller for the personal information processed through this service and is registered with the Information Commissioner's Office (ICO), registration number ZC244803. Company number 17151645. Registered office: Unit 19, Castle Road Technical Centre, Eurolink Industrial Estate, Sittingbourne, Kent, ME10 3RG, United Kingdom.

Privacy enquiries: hello@job-matches.co.uk. We have not published a Data Protection Officer for this service.

Information we use

• Account details, including your name, email address and sign-in records.
• CV and profile information you upload or enter, including experience, skills, job titles and a career snapshot.
• Job preferences, location and salary information where you choose to provide them.
• Employer account details, role information and searches an employer runs inside the product.
• Applications and documents you choose to send. We do not automatically apply to jobs on your behalf.
• Technical data such as IP address, browser and security logs, and optional analytics if you accept cookies.

CV uploads and visibility

• A CV you upload is used to build your matching profile: experience, skills, titles and a career snapshot.
• That snapshot is scored against live UK vacancies. We do not sell CVs as a marketing list.
• Employers cannot see your CV, or search you, unless you turn on Allow employers to find me in Settings. That permission is off by default and can be withdrawn.
• We do not automatically apply to jobs on your behalf, so a CV is not sent to an employer unless you send it.
• AI-assisted CV and letter drafts should stay grounded in information you provided.

Why we use it

We use this information to create your account, match your profile to vacancies, show employers only the candidates who have chosen to be found, produce drafts you ask for, take payment where a paid plan applies, keep the service secure, and measure the public website if you allow analytics cookies.

The lawful basis is usually contract for the account and matching service you ask us to provide, and legitimate interests for security, fraud prevention and improving matching quality. Consent applies to non-essential cookies and to any optional visibility or marketing choice. Legal obligation applies where we must keep a record, for example of a payment.

AI-assisted matching

Job Matches uses automated scoring to compare your profile with vacancies and may use AI to draft CV or letter text from information you provided. Matching is a ranking aid. It does not decide that you are hired, rejected, or entitled to a job, and it does not send an application unless you do. Where a draft is produced through OfficeMaker, that processing is to create the document you asked for and is not used to train OfficeMaker foundation models.

Profile and CV content needed to provide matching or a draft may be processed by our hosting and AI providers for that request. We do not publish a claim that every model provider is prohibited from training on all inputs. Where a provider contract prohibits use of customer content for its own model training, we rely on that contract.

Sharing and transfers

We do not sell personal information. We share it with providers that host the service, send email, process payments, and, if you accept cookies, measure the site (Google and Microsoft tools described in the cookie banner). An employer sees your CV only when you have allowed that or you send an application. Some providers process information outside the UK. Where a transfer is not covered by UK adequacy regulations, we use a recognised contractual safeguard.

Retention

Account and profile data is kept while the account is active and for a further period needed for security, disputes and accounting. A CV is kept so matching can continue until you delete it or close the account. Employer role data is kept while the employer account needs it. A fixed day-count for every category is not published on this page.

Your rights

You can ask for access, correction, erasure, restriction or portability, and you can object to processing based on legitimate interests. You can withdraw consent for optional cookies and for employer visibility. You can also complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.

Account, cookies and analytics

• Job-search data in the product stays associated with your account.
• We use optional analytics and advertising cookies (Google tag, Ads conversions, optional GA4/Clarity) only after you accept the cookie banner. Rejecting cookies does not block job matching.
